Systems & portals — by Dopara

The system your business runs on.

Client portals, operations dashboards, internal tools and automations — built around how your firm actually works, not a template we’re trying to resell. One joined-up system on one set of records: one place instead of five, with a single source of truth underneath.

We built and run a live client system for a UK property firm.

What we build

The kinds of systems we build.

Four shapes a project usually takes. Most systems combine two or three of them — always as one joined-up system, on one set of records.

01

Client portals

A private, branded space for the people you work with — each client signs in and sees only their own work.

  • Client dashboards
  • File uploads
  • Project status & shared notes
  • Forms and messages
02

Internal business systems

The tools your team runs the day on — one place instead of five.

  • Admin dashboards & staff tools
  • Workflow and task trackers
  • Approval flows
  • Internal databases
03

Databases & dashboards

A single source of truth for the records your business runs on.

  • Customer & project databases
  • Finance and admin tracking
  • Reporting dashboards
  • Searchable records

What we build · 04

Automation & admin tools.

The fourth kind — the one that hands you your hours back. Automations take the repetitive admin off your desk, and they keep humans in control: when something needs a decision, the system stops and asks you.

  • Invoice workflows
  • Message templates & follow-up reminders
  • Form-to-database flows
  • Admin task automation
  • Notifications when something needs you

On screen

See one on screen.

Swap between the shapes a project can take — a client portal, an operations dashboard, automations, an internal tool, and the integrations that tie it to what you already use. Every screen shows demo data.

Your first working version is on track for next week. We’ve drafted the enquiry form for your review — approve it in Forms and it goes live. Everything here is private to your account; each client sees only their own work.

Built and running

Systems we’ve already built.

Not mock-ups — screens from systems that exist. One runs a UK property firm’s day-to-day, one is our own product, and one is the platform behind our own training brand.

Also running

The system we run this company on.

We did not start by selling these. We built one for ourselves, because two businesses across a to-do list, a spreadsheet and an inbox is exactly the problem we keep being asked to fix. It reads the records that already exist — notes, ledgers, the mail log, the payment records — and puts them on one screen. Nothing in it is typed in twice.

One place to look
Money in, this week’s targets, today’s calls, the funnel and every project — on one screen instead of five.
Every open to-do
One list across both businesses, pulled out of the notes we already keep, dated items first.
Work in motion
Each project with its last activity, its next step and who is waiting on what.
Money and tax
Invoices raised and chased, bills in, and the filing dates ahead — reconciled against a real bank statement.
The funnel
One row per company, from found to bought. The states are worked out from records that already exist, not typed in by hand.
Mail
What went out, what came back, and the caps that stop it ever sending more than it should.
Demo data The dashboard’s overview screen: revenue, sales and open to-dos across the top, this week’s targets as progress bars, today’s calls, a funnel from found to bought, and where the work sits. Demo data Every open to-do in one list across both businesses, with progress bars per area and filters by business and vault. Demo data Every project as a card with its status, latest activity, next steps and dated updates.
The real application, filled with an invented company’s records so no client detail is on screen. It is not for sale — it is here because it is the honest answer to “have you built one of these before?”

How we work

Practical, not hype.

We build the system your business actually needs — not the biggest one we can sell. Every project starts with a conversation, then a fixed scope and price agreed up front.

01

Built around you

Every system starts from how your business runs, not from a template we’re trying to resell.

02

Design and system together

The design and the build come from the same desk, so the two fit.

03

Fixed scope & price

A clear first build with a fixed cost, and optional support after launch.

04

You own it

The system belongs to your business, not to us.

05

Humans stay in control

Automations remove the repetitive admin and still stop for you when something needs a decision.

06

UK-based & supported

Built, hosted and supported in the UK, so nobody in-house has to keep the lights on.

How it works

From first call to a working system.

A simple, predictable process. We solve the real problem first and prove it works before building more.

  1. 01Understand the business. We look at what you sell, who buys it, where things break down now, and what happens after someone gets in touch.
  2. 02Design the pages. We draw up the pages, and any screens behind them. You see the layout before anything gets built.
  3. 03Build the first working version. A fixed-scope version that can actually be used — a website, dashboard, portal, database, automation, or a combination.
  4. 04Test with real use. You and your team use it on real work before it goes live. We fix what’s confusing and change anything that gets in the way.
  5. 05Improve and expand. Once the system works, we add more features, automations, integrations, and reporting.

Pricing · by the project

Priced per project, fixed and agreed up front.

Every system is different, so there’s no shelf price. We scope the first working version with you, agree the cost in writing, and you know exactly what you’re paying before you pay anything.

Questions

The things people ask first.

How do you scope and price a project?

Every project starts with a conversation about what you actually need. We then agree a fixed scope and price in writing before you pay anything, and build that first — we solve the real problem and prove it works before building more.

Who owns the system?

You do. The system belongs to your business, not to us. We build it, and we can host, back up and support it so nobody in-house has to — but it’s yours.

How long does it take?

Weeks, not months, for a first working version. We build that to a fixed scope, then you and your team test it on real work before it goes live. Once it works, we improve and expand — more features, automations, integrations and reporting.

Do the automations run without me?

They remove the repetitive admin and keep humans in control. They notify you when something needs a decision and stop for your approval, rather than acting on their own.
